The “In’s” & “Out’s” of the Workplace in 2025

In 2024, discussions around RTO (Return to Office) and hybrid work dominated workplace conversations. While these topics will remain relevant in 2025, the focus is expected to evolve. The conversation will likely shift from "attendance" to "performance," and from defining "what" the office is to exploring "how" the office can enable better performance. Static, uninspired office designs are being replaced by dynamic, purpose-driven spaces that spark joy and creativity. Here are the key trends we foresee for 2025:

What’s “In” for 2025

AI-Driven Workplaces

AI is more than just a buzzword; it has the potential to revolutionize workplace experiences and optimize real estate assets. AI can personalize environmental settings such as lighting and temperature based on individual preferences. In the near future, office furniture and technology might automatically adjust to a person’s unique needs, much like the customization seen in modern vehicles. This adaptability creates a seamless and comfortable work environment, rivaling the convenience of a home office.

Smart scheduling tools powered by AI can streamline meeting arrangements, automate desk bookings, and foster social interactions. These tools consider individual availability, preferences, and work habits to predict needs—for instance, automatically reserving a preferred desk or neighborhood as an employee enters the building. AI can also optimize meeting room bookings across multiple locations, dynamically adjusting for actual in-office attendance. By eliminating manual scheduling, these tools enhance efficiency while ensuring space optimization. Ideally, they may even encourage more employees to take video calls in designated rooms instead of at their desks.

Facilitated Gatherings

Social connections are vital for engagement, purpose, and building strong relationships. However, relying on organic interactions can be unpredictable. Forward-thinking organizations are addressing this by facilitating purposeful onsite gatherings and rituals. Some companies have established internal concierge teams and playbooks to guide teams in organizing meaningful events. Dropbox, for example, has introduced an “Offsite in a Box” resource alongside a dedicated concierge team, making it easier to plan and execute gatherings. Their efforts have paid off, with over 70% of participants reporting stronger team connections after attending a Dropbox offsite.

Facilitated gatherings can take place in various settings, from flexible corporate event spaces to co-working venues or even residential retreats.

Engagement Metrics

After years of experimenting with RTO, data suggests that in-office attendance doesn’t necessarily translate to higher productivity. According to Stanford economist Nick Bloom, productivity levels remain consistent whether employees work full-time in the office or follow a hybrid schedule. Engagement, rather than attendance, is emerging as a more impactful metric for performance.

Engagement—which fosters satisfaction and productivity—is a key indicator of performance. Engaged employees align with company goals, demonstrate commitment, and contribute to a positive culture. Connection also plays a critical role in engagement. In 2025, engagement and connection will likely become the gold standards for measuring workplace success.

What’s “Out” for 2025

Outdated Space Metrics

Traditional metrics like square footage per person are becoming obsolete in the era of hybrid work. Since workplace attendance fluctuates, these metrics fail to capture meaningful utilization patterns. Instead, the focus is shifting to “experienced utilization,” which considers diverse use cases and real-time occupancy.

Stagnant Office Designs

Workplaces must evolve to reflect the rapid changes in work dynamics, especially in hybrid models. Offices are being reimagined as tools for achieving business objectives, fostering collaboration, and supporting both teams and individuals. Static rows of desks are giving way to versatile environments that accommodate various activities—from mentorship and learning to connection and collaboration.

Virtual Office Presence

As technology streamlines room bookings and workplace configurations, the prevalence of virtual calls from desks while physically in the office is expected to decline. When employees join virtual meetings from their desks despite being onsite, it diminishes the value of in-person interactions. To maximize the benefits of working together, companies should invest in consistent, user-friendly technology and spaces designed for effective collaboration. Let’s embrace the hybrid future by moving past the “virtual alone” mindset and fully leveraging in-person opportunities.

The workplace of 2025 will prioritize performance, engagement, and adaptability over outdated practices and designs. By embracing AI, facilitating meaningful connections, and measuring engagement, organizations can create environments that truly support their teams and business goals.
